Primary Focus

The Chief of Staff / Project Coordinator will provide support to a Senior Executive leader in the Department of State, Bureau of Diplomatic Security. Position will utilize expert-level ability of handling administrative tasks at the senior executive level, including but not limited to meeting support, project scheduling, budgeting support and project logistics as requested. This position performs all duties and responsibilities in accordance with the Mission, Vision, and Core Values of Cayuse.

Responsibilities

  • Support executives and project teams by managing and facilitating executive tasks including scheduling meetings, creating meeting notes, performing advanced follow-up on action items and creating presentations with some graphic design support.
  • Develop presentations and other project related documents and reports.
  • Works as a cooperative and collaborative member of a high performing team including 300 other staff.
  • Consistently provides high level of quality service
  • Uses judgment to anticipate customer service needs
  • Other duties as assigned.
  • Ability to manage schedules, prioritize tasks, and maintain an efficient workflow is essential. This includes handling multiple projects and deadlines simultaneously.
  • Familiarity with technology and software, such as project management tools, data analysis software, and general IT knowledge.
  • Resourceful and able to anticipate needs or challenges, and providing solutions proactively is key in a fast-paced environment.
  • Maintaining confidentiality and exercising discretion in all communications is vital.
  • Ability to coordinate, track progress, and ensure that deadlines are met, often working closely with various teams updating Senior Leadership
  • Understanding the broader organizational goals and how leadership’s initiatives align with them, helping to contribute to high-level decision-making processes.
  • Ability to conduct thorough research on technology trends, vendors, and best practices, providing valuable insights to leadership.
  • Competence in remaining calm under pressure and effectively handling unexpected issues or emergencies, ensuring continuity of operations.
  • Act as the primary liaison among administrative teams across the directorate, facilitating communication and information sharing to ensure alignment on priorities, initiatives, and projects, fostering a collaborative work environment.
  • Understanding fundamental concepts of information technology, including hardware, software, networks, and IT Knowledge: Understanding fundamental concepts of information technology, including hardware, software, networks, and systems.
  • Ability to work with data analytics tools (like Excel, Tableau, or Power BI) for generating reports and insights relevant to the CIO’s projects.
  • Knowledge of basic cybersecurity principles to help protect sensitive information and understand potential risks.
  • Other duties as assigned.

Qualifications

  • 8 years of executive support experience, preferred
  • 5+ years of experience with assisting federal government executives
  • 2+ years of experience leading projects and assisting executives
  • Must be experienced in Microsoft Office Suite of tools including MS Word, PowerPoint and Excel.
  • Knowledge of SharePoint is desirable but not required
  • Will be motivated, energetic, dynamic, business savvy individual who can assist with the day-to-day logistics of delivering services to our clients.
  • Must be a multitasker and be able to solve complex problems.
  • Ability to use sound judgement to plan and accomplish project goals.
  • Possess excellent planning, time management and prioritization skills.
  • Expert communicator and a strong writer including good command of the English language.
  • Active Secret Security Clearance.
  • Must be able to pass a background check. May require additional background checks as required by projects and/or clients at any time during employment.

Minimum Skills:

  • Must possess problem-solving skills.
  • Flexibility to adjust to changing priorities and demands, as the tech landscape and organizational needs can shift rapidly
  • Exceptional communication skills, both oral and written
  • Ability to respond effectively to customers with a sense of urgency.
  • Proficient in Microsoft and Adobe toolsets, including Excel, Word, PowerPoint, Acrobat, etc.
  • Highly motivated with the ability to handle and manage multiple tasks at any one time.
  • Building strong relationships with colleagues, vendors, and other stakeholders, fostering collaboration and a positive working environment.
  • Proficiency in managing one’s own time as well as the time of leadership, ensuring that priorities are effectively addressed within tight deadlines.
  • Skill in building and maintaining professional relationships within the tech community, which can be beneficial for collaboration and information sharing.
  • Proficiency in tools like ServiceNow, Trello, or Microsoft Project, which can help in managing projects and tasks effectively.  Adaptability to timekeeping and similar technology. 
  • Must be a Self-starter, that can work independently and as part of a team.

Working Conditions

  • Must be physically and mentally able to perform duties for extended periods of time.
  • Ability to use a computer and other office productivity tools with sufficient speed to meet the demands of this position.
  • Must be able to establish a productive and professional workspace.
  • Must be able to work varying work schedules and/or extended hours to meet business needs and project deadlines.
  • May be asked to travel for business or professional development purposes.

Pay Range

USD $120,000.00 - USD $150,000.00 /Yr.
