The Work

The Logging Coordinator will assist in supporting the client's full range of lodging support.

Responsibilities

Key Responsibilities

  • Maintains FY course schedules for lodging purposes.
  • Arranges lodging reservations for students and staff with contracted hotel facilities.
  • Provides lodging confirmation information to students and course coordinators.
  • Maintains lodging information on excel spreadsheet and updates accordingly.
  • Quarterly analyzes spreadsheets to determine room nights per hotel.
  • Notifies class coordinators, program managers, and COR of any student or hotel issues.
  • Arranges shuttle service with hotels for students.
  • Provides detailed lodging spreadsheets to program managers for invoice reconciliation.
  • Provides procurement requests and/or funding documents to the budget unit for identified courses.
  • When necessary, provides lodging briefing to students.
  • Back-up the Travel Operations Specialist.
  • Generate various reports related to lodging data.
  • Updates the lodging standard operating procedures.
  • Attend quarterly meetings with designated hotels.
  • Ensures student records (lodging, travel and external training) are managed according to the records disposition schedule.
  • Review suspense file and take appropriate action to correct discrepancies to ensure timely processing.
  • Other duties as assigned.

Qualifications

  • Must possess a high school diploma, associate’s degree preferred, together with three years (3) of customer service and administrative experience.
  • Must possess basic knowledge of and experience with office and administrative functions, practices and procedures.
  • Knowledge of basic accounting skills is helpful.
  • Experience in providing travel support or event planning services is preferred.
  • Secret Clearance is required.
  • Due to the nature of work at the client’s site, U.S. Citizenship is required.
  • Must be able to pass a background check. May require additional background checks as required by projects and/or clients at any time during employment.

Minimum Skills:

  • Must be highly organized with attention to detail.
  • Must possess excellent command of the English language.
  • Thorough knowledge of Microsoft applications (MS Word, Excel)
  • Strong oral and written communication skills required
  • Ability to handle multiple tasks simultaneously
  • Must be self-motivated and able to work well independently as well as on a multi-functional team.
  • Ability to handle sensitive and confidential information appropriately

Working Conditions

  • Professional office environment, with the ability to work onsite in the main office.
  • Must be physically and mentally able to perform duties extended periods of time.
  • Ability to use a computer and other office productivity tools with sufficient speed to meet the demands of this position.
  • Must be able to establish a productive and professional workspace.
  • Must be able to sit for long periods of time looking at computer screen.
  • May be asked to work a flexible schedule which may include holidays.
  • May be asked to travel for business or professional development purposes.
  • May be asked to work hours outside of normal business hours.

Pay Range
