Overview

The Work

The Program Manager will oversee and coordinate multimedia production activities, including video, photography, livestream/multicast, and graphic design requests. This role requires a skilled professional who is adept at managing complex project timelines, resources, and customer communications. The successful candidate will leverage strong organizational and leadership skills to ensure high-quality deliverables are provided on time, meeting or exceeding customer expectations.

Responsibilities

Key Responsibilities

  • Act as the primary Cayuse Point of Contact (POC) for all assigned PAO multimedia production requirements.
  • Receive, review, log, prioritize, and coordinate video, photography, livestream/multicast, and graphics requests from customers.
  • Maintain and utilize an automated or software-based request-management and scheduling system to track and manage all project requirements efficiently.
  • Respond to all customer requests within one business day, ensuring timely and professional communication.
  • Develop and deliver staffing plans, resource requirements, schedules, and key assumptions within three business days of receiving the request.
  • Proactively identify and communicate potential conflicts related to personnel, equipment, and scheduling, providing timely solutions.
  • Coordinate standard and major event planning activities, ensuring compliance with required lead times (standard 10-business-day lead time for video/live events and extended lead times for major events).
  • Oversee the scheduling and coordination of the Senior Videographer/Photographer, additional livestream production staff, and Cayuse graphics teams to execute project requirements.
  • Facilitate production operations by scheduling IPRs, rehearsals, customer coordination meetings, and production preparation activities.
  • Ensure all assigned personnel are fully briefed on event locations, access requirements, customer priorities, deliverables, and deadlines.
  • Handle military installation access permissions and other administrative arrangements as necessary.
  • Oversee all aspects of graphics production, from initial requirements gathering to customer approval, while tracking copy changes, draft deadlines, required revisions, and final deliverables.
  • Conduct or oversee final quality assurance reviews of deliverables prior to distribution.
  • Monitor customer satisfaction by tracking customer acceptance, managing issues, resolving complaints, and collecting feedback.
  • Maintain comprehensive records of project activities, including logs for requests, deliveries, issue tracking, schedules, and performance metrics.
  • Ensure equipment readiness by managing software licenses, coordinating maintenance or replacement of production resources, and addressing availability concerns.
  • Support staffing continuity, maintaining primary and backup production personnel to ensure uninterrupted service delivery.
  • Other duties as assigned.

Qualifications

Qualifications – Here’s What You Need

  • A minimum of five (5+) years of experience in project management, program coordination, operations management, production management, event management, or a related field.
  • At least three (3+) years of experience managing multiple concurrent projects, deliverables, or customer requests in a deadline-driven environment.
  • Proven ability to manage schedules, resources, customer communication, deliverable tracking, and issue resolution.
  • Experience coordinating and managing technical, creative, or production personnel.
  • Proficiency in developing and maintaining trackers, calendars, work plans, status reports, and customer action logs.
  • Excellent written and verbal communication skills, with a strong attention to detail.
  • Demonstrated ability to work independently with minimal day-to-day supervision.
  • Local availability on Oahu.
  • Ability to meet military installation access requirements.
  • Must be able to pass a background check. May require additional background checks as required by projects and/or clients at any time during employment.

  • Ability to handle sensitive and confidential information appropriately
  • Proficient in MS Office, Word, Outlook, PowerPoint, and Excel.

 

Preferred Qualifications:

  • Seven (7+) years of experience in project/program management or coordination.
  • Prior experience within the Department of Defense (DoD), U.S. Army, Government contracting, or the defense industry.
  • Previous exposure to Public Affairs, strategic communications, multimedia, creative services, or event production operations.
  • Familiarity with federal contract compliance, deliverables management, quality control standards, invoice validation, and performance tracking.
  • Professional certifications such as Project Management Professional (PMP), Certified Associate in Project Management (CAPM), or equivalent.
  • Knowledge of military ceremonies, senior-leader events, and installation operations.

Working Conditions

  • Professional office environment, with the ability to work onsite in the main office.
  • Must be physically and mentally able to perform duties extended periods of time.

Pay Range

USD $40.00 - USD $50.00 /Hr.
